Terms and Conditions: Accommodation and Meals for Children 

1. Accommodation for Children Under the Age of Sixteen 

1.1 Complimentary Stay 
Children under 16 years of age stay free of charge when sharing a room with their parent(s), using existing bed arrangements and bedding. This benefit applies to all our hotel brands, including Road Lodge, and is limited to a maximum of two children per room. 

1.2 Sleeper Sofa Policy 
Where available, sleeper sofas may be used at no additional cost: 
- Single Sleeper Sofa Rooms: Accommodates up to two adults and one child. 
- Double Sleeper Sofa Rooms: Accommodates up to two adults and two children. 
Sleeper sofas must be pre-arranged to ensure proper linen setup by housekeeping. 

1.3 Family Room Discount (Courtyard Hotel, City Lodge Hotel and Town Lodge Only!) Families booking two rooms (preferably inter-leading or adjacent) for two adults and one or two children under 16 will receive: 
- First room: Charged at 100% of the applicable rate (BAR or OTA). 
- Second room (children’s room): Charged at 30% of the applicable rate (BAR or OTA). 

1.4 Family Rate Booking via Website 
Guests booking two rooms for two adults and two children under 16 on our website (www.citylodgehotels.com) will receive the Family Rate. Inter-leading rooms will be prioritised; if unavailable, adjacent rooms will be allocated, and guests will be informed accordingly. 

1.5 Unaccompanied Minors 
Children under 18 staying without their parents must present a completed and signed Minor Declaration Form (This form will be supplied by the hotel receiving the enquiry or one can Download the form here?). This does not apply to school or sports groups under adult supervision. 

2. Meals for Children Under the Age of Sixteen (Excluding Road Lodge) 

2.1 Complimentary Breakfast (Shared Room) 
Up to two children under 16 sharing a room with their parents are entitled to a complimentary full breakfast. 

2.2 Complimentary Breakfast (Discounted Room) 
Up to two children under 16 staying in a discounted second room also receive a complimentary full breakfast. 

2.3 Other Meals 
Lunch and dinner are not discounted. However, all menus include affordable, child-friendly options. 

2.4 Beverages 
All beverages are charged at standard menu prices and are not subject to discounts. 

3. Sports and School Groups 

3.1 Group Rates 
Sports and school groups traveling with children under 18 are not eligible for the above discounts. These groups will be charged negotiated group rates for accommodation, breakfast, and all other meals.

PARENT / GUARDIAN CONSENT FORM

I/we the undersigned, hereby acknowledge and consent to the following:

1. I am/we are the parent(s) or legal guardian(s) of the minor named below;

2. I am/we are aware that the minor will be accommodated, unsupervised, in a hotel room at _________________________ (the “Hotel”), for the time period specified below;

3. I/we agree to and accept the City Lodge Hotels Limited – Standard Terms and Conditions of Residence and accept responsibility on behalf of the person(s) indicated on the registration card and/or residing at the Hotel.

4. While the minor is accommodated at the Hotel, the minor will be unsupervised and the Hotel has no responsibility to ensure that it is aware of the whereabouts or activities of the minor;

5. The minor shall enter the Hotel premises, stay at the Hotel and/or use the swimming pool and/or gymnasium and/or other facilities at his/her own risk;

6. I/we as the parent(s) or legal guardian(s) of the minor shall be liable for any and all damage, including but not limited to any physical damage to the Hotel room, buildings or otherwise, that may be caused by the minor whilst the minor is being accommodated on the Hotel premises;

7. The Hotel, its management and/or employees shall not be liable for i) any and all loss of or damage to any property, reputation, dignity or injury to or death of any person, including the minor, guests of the minor and/or any person for whom I/we am/are responsible; and ii) loss, damage , costs (including attorney’s fees on an attorney and own client basis) and expenses which City Lodge, including the Hotel, may suffer or incur arising directly or indirectly from any act of omission of City Lodge and/or the minor and/or any person for who I/we may be responsible for.

8. City Lodge takes its data privacy obligations seriously and to this extent please see the Privacy Policy at www@citylodgehotels.com governing the protection of personal information in terms of the Protection of Personal Information Act No. 4 of 2013 (“POPIA”). Queries or complaints regarding data privacy can be emailed to privacy@citylodgehotels.com. I/we as the parent(s) or legal guardian(s) of the minor, consent to the Hotel processing the personal information of the minor in terms of Section 35(1)(a) of POPIA for the purposes of providing Hotel accommodation services. NB: IF YOU ARE MARRIED IN COMMUNITY OF PROPERTY THEN BOTH PARENTS / LEGAL GUARDIANS MUST SIGN THIS FORM. IF THIS FORM IS NOT COMPLETED, SIGNED AND RETURNED WITH A COPY OF THE PARENT / GUARDIAN’S IDENTITY DOCUMENTS THEN WE ARE UNABLE TO ACCOMMODATE THE MINOR AS WE CANNOT FULFILL OUR CONTRACTUAL AND REGULATORY DUTIES.
